Job Description

Overview:

Upper Albany Main Street is seeking a highly organized and detail-oriented Administrative Assistant to support the Executive Director and ensure the smooth day-to-day operation of the office. This role is ideal for someone with strong communication skills, a proactive mindset, and the ability to manage multiple administrative tasks in a dynamic, community-focused environment.

This position is 100% grant-funded contingent upon annual renewal of external funding.

Key Responsibilities:

  1. Administrative Support
  • Manage appointments, meetings, and travel arrangements.
  • Maintain an up-to-date visitor and call log, recording all walk-ins, phone calls, merchant visits, and scheduled appointments.
  • Develop and maintain distribution lists based on program activities.
  • Maintain physical and digital filing systems, organizing documents, and retrieving information as needed.
  • Manage Customer Relations Management (CRM), entering data into spreadsheets, databases, or other software applications.
  • Serve as the first point of contact for office guests, ensuring a professional and welcoming environment.
  • Assist with filing, organizing documentation, and preparing reports or materials as requested.
  1. Project Management Support
  • Support project teams with administrative tasks, such as tracking progress and managing timelines.
  • Conduct research on various topics to support administrative functions.
  • Assist with financial tasks as needed.
  • Assist with technology related tasks, such as troubleshooting computer issues or equipment setup.

 

 

  1. Customer Services
  • Draft and format reports, presentations, and other documents.
  • Provide excellent customer service to both internal and external clients.
  • Arrange and coordinate meetings, including preparing agenda, distributing materials, and tsking minutes.
  • Maintain a positive and professional work environment
  • Streamline processes, manage schedules effectively, and provide timely support.
  • Support team members and assist with logistical needs for meetings, events, and workshops.

 

  1. Teamwork/Collaboration
  • Contribute to the organization success by completing assigned tasks/projects with accuracy and efficiency, adhering to deadlines, and demonstrating a proactive and result-oriented approach to organization initiatives.
  • Manage disagreements and resolve conflict constructively with the team.

  • Work effectively with other to achieve shared goals.

Qualifications:

  • Proven administrative or office assistant experience preferred desirable.
  • Excellent written and verbal communication skills.
  • Adaptable with strong communication and customer service skills
  • Ability to multitask and prioritize
  • Ability to work independently and work in a team environment
  • Flexible work schedule
  • Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable using calendars and communication platforms.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with professionalism and discretion.
  • Punctual, reliable, and able to manage time effectively.
  • Positive attitude and willingness to learn.
